After years of carrying a B2B sales quota, I got tired of watching reps lose half their week to non-selling work. Pre-call research. Logging notes that nobody reads. Chasing follow-ups from memory. Drafting outreach that gets ignored. Writing proposals that take half a day each.
Every team I sat with had the same five problems, in roughly the same order.
The thing that changed
The five problems didn’t change. What changed is that the tooling finally caught up. n8n, Zapier, and Make can move data between any two systems. Claude can read it, write it, and reason over it. And Cowork makes that capability sit on the rep’s desktop as something they actually talk to, not another tab they have to remember to open.
The combination matters. Most “AI consultants” ship one of two things: a chatbot that doesn’t connect to anything, or a Zap that nobody trusts. The interesting work is in the middle: deterministic automations doing the deterministic work, with an AI surface on top that the team can interact with when they need to.
What Hotkey ships
Five systems, scoped per client based on where they’re losing the most time:
- Pre-Call Intelligence — briefing system that pulls fields off the CRM contact and drops a one-pager in the rep’s inbox before each call.
- Post-Call CRM Automation — call recording in, recap and CRM updates out. No rep touches it.
- Follow-Up Automation — touches fire off pipeline state, not rep memory.
- Outreach Personalization — system watches for triggers per prospect and drafts a typed message the rep reviews.
- Proposal Generation — discovery notes plus CRM data become a sectioned proposal in your template.
A typical engagement covers two or three of these, scoped in discovery. Most go live in two to four weeks.
